This Refund Policy explains how refunds are handled for bookings made through Rail Ramblers. Because we are not a rail operator, refunds for train tickets are governed by the operating carrier's published fare rules. Rail Ramblers submits refund requests on your behalf and processes any agency-related portion.
1. Two Types of Charges
Your total payment for a booking typically includes two distinct components:
- Carrier charges — the rail carrier's ticket price, taxes, and any carrier-imposed fees. Refunds of these amounts depend on the fare's rules and are issued by the carrier.
- Agency service fee — a separate fee charged by Rail Ramblers for booking, change, or cancellation assistance. This fee is generally non-refundable once the service has been rendered.
2. Eligibility for Refund
Whether you are eligible for a refund of the carrier portion depends entirely on the fare type:
- Refundable fares — typically refundable in full, less any applicable carrier fee, before departure.
- Partially refundable fares — a portion may be refunded; the remainder may be issued as a travel credit.
- Non-refundable fares — no cash refund; the carrier may permit a future travel credit, subject to expiration and re-booking fees.
- Promotional / saver fares — often have stricter cancellation rules. Our advisor will read the exact rule before you book.
Before any cancellation, our advisor will read out the exact fare rule and the expected refund amount.
3. How to Request a Refund
- Call (888) 705-2999 with your reservation reference and traveler name.
- Our advisor reviews the fare rules and provides an itemized refund estimate.
- Upon authorization, we cancel the booking with the carrier and submit the refund request.
- You receive an email confirming the cancellation and a reference number for the refund request.
4. Refund Processing Time
Once approved by the carrier, refunds are credited to the original payment method. Typical timelines:
- Credit card: 7-30 business days
- Debit card: 7-30 business days
- Wire transfer / bank: 30-60 business days
Timelines are determined by the carrier and the issuing bank. Rail Ramblers does not control how quickly your card issuer posts the refund.
5. Schedule Changes & Carrier-Initiated Cancellations
If the carrier cancels your train service or makes a significant schedule change, you may be entitled to a full refund of carrier charges (sometimes including agency fees, depending on circumstances). Call us as soon as you receive notification and we will assist.
6. No-Show Policy
If you fail to board your scheduled train (a "no-show") without prior cancellation, most carriers treat the ticket as forfeited. No refund of carrier charges or agency fees is provided in such cases.
7. Disputes & Chargebacks
If you believe a charge is incorrect, please contact us first at contact@railramblers.online. We respond to billing inquiries within 5 business days and aim to resolve all disputes amicably. Initiating a chargeback without first contacting us may delay resolution.
8. Currency & Exchange Rates
Refunds are issued in the same currency in which the original payment was made. Currency fluctuations between charge date and refund date are not the responsibility of Rail Ramblers.
9. Agency Service Fee Refunds
Our service fee may be waived or refunded in the following limited circumstances:
- If your booking is cancelled due to a carrier-initiated cancellation that prevents travel.
- If the reservation could not be completed due to an error on our part.
- If you cancel within 24 hours of booking and the carrier permits a full refund of the fare.
